  • The books, all year. Money in and out, invoices and bills, and your bank statements brought in and reconciled.
  • Your funds kept apart. Each income and cost account belongs to your unrestricted, restricted or endowment funds, so the accounts show what each fund received, spent and holds.
  • The year-end accounts your charity needs. Receipts and payments accounts with a statement of assets and liabilities, for a charity that is not a company while its income allows; accruals accounts under the Charities SORP (FRS 102), with the statement of financial activities, for the rest.
  • The trustees' annual report, and your independent examiner's or auditor's report put in word for word - never written by Stoneledger.
  • The dates that matter. When your annual return is due to the Charity Commission, and what your income means for the examination or audit your accounts need.
  • Payroll and VAT, if you need them. Pay, tax, National Insurance, workplace pensions and payslips; VAT worked out if the charity is registered for it.

    Start your trial

    Give your charity's name, what kind of charity it is, and its registered charity number. Not on the register? Then its HMRC charities reference, and email us HMRC's recognition letter: both are needed. One or the other is needed to sign up as a charity. Your 30 days start as soon as you confirm your email.

    We check it

    We check your number on the Charity Commission's register, or your HMRC reference against HMRC's letter, and that the name is yours - usually within a working day. We email you either way.

Questions

What treasurers and trustees ask first.

Is anything left out at the charity price?

No. A charity gets everything Stoneledger does, the same as a business on the full price - the books, the funds, the year-end accounts, payroll and VAT.

Which accounts does it prepare?

The ones your charity's form and income call for. A charitable company prepares accruals accounts under the Charities SORP, with its unrestricted, restricted and endowment funds and the trustees' annual report. A CIO or an unincorporated charity prepares receipts and payments accounts while its income allows, or SORP accounts, with no company law in them. What each still needs before your trustees approve it is listed on screen.

Does Stoneledger make our annual return?

No. The annual return is made on the Charity Commission's own online service. Stoneledger prepares the accounts and the trustees' annual report to send with it, and shows the day it is due.

Can our independent examiner or auditor use it?

Yes. Invite them with view-only access to see the books and every figure behind the accounts. Their report goes into the accounts exactly as they sign it - Stoneledger never writes it.

We are a charity but not on the register. Can we have this price?

Yes, if HMRC recognises you as a charity for tax - many charities with an income under £5,000, and excepted charities such as many churches and Scout and Guide groups, are not on the register. You need both your HMRC charities reference, which you give when you sign up, and HMRC's recognition letter, which you email to us. A non-profit that is not a charity, such as a community interest company or a club, pays Stoneledger's standard price.

What if our details cannot be confirmed?

We email you to say why. Your free trial carries on as normal; after it, Stoneledger's standard price applies unless you send us updated details - a corrected number or reference from your plan page, and documents by email - and we will look again.

Our charity is registered in Scotland or Northern Ireland and is not recognised. What can we do?

The charity plans are for charities in England and Wales for now, because the year-end accounts follow the rules there. If your charity is registered in Scotland or Northern Ireland, please get in touch at hello@stoneledgeruk.co.uk and tell us about your charity.
